Duties and Responsibilities

President

The President shall be the Chief Executive Officer of the Association. He/she or she shall have all the powers and duties which usually vested in the office of the president of an association. Responsibilities include overall management of the board and association. The president will serve as a spokesman during meetings with the board of directors and lead community HOA meetings. The president will have authoritative say in daily functions of the HOA and allowed to delegate authorities to other board members as he/she sees appropriate. The president has the overall responsibility is to ensure the board of directors operates legally and IAW the recorded declaration of covenants, conditions and restrictions. The president will also be a member of the Architectural Review Committee until such time as a volunteer committee is established.

Vice President of Operations (VPO)

The vice president of operations will be ready to assume responsibility should the president be absent from a meeting, resign from duties or be dismissed by a majority vote of the board of directors. The vice president of operations must act within the best interests of the community. He/she assists the president with the oversight of the board members functions and helps facilitate conflict resolution throughout the community, management company and contracted services. The VPO has the overall responsibility is to ensure the board operates cohesively as a unit to meet the HOA and community requirements. The VPO secretary will also be a member of the Architectural Review Committee until such time as a volunteer committee is established.

Vice President of Communications and Infrastructure (VPCI)

The vice president of Communications and Infrastructure will be ready to assume responsibility should the president and the Vice President be absent from a meeting, resign from duties or be dismissed by a majority vote of the board of directors. The VPCI provides the conduit of communication from the board of directors to the community through whatever means is determined by the board. The VPCI must act within the best interests of the community and ensure clear lines of communication and dissemination of community information. Finally the VPCI is responsible for maintaining the communications infrastructure to ensure communications tools and products are available to community members in a timely and effective manner. The VPCI will also be a member of the Architectural Review Committee until such time as a volunteer committee is established.

Treasurer

The treasurer is responsible for all securities, funds, and records of finances which belong to the homeowners' association. If the HOA has an outside company responsible for the financial aspect of the association then the treasurer duties will be to ensure proper financial records are kept and provide financial oversight of the management company. Finally, the treasurer is responsible for creating a proposal for the annual budget and preparing the annual financial report each year. The treasurer will also be a member of the Architectural Review Committee until such time as a volunteer committee is established.

Secretary

The secretary is responsible for keeping all of the official records for the association to include documenting a quorum at all meetings and working with the management company (if applicable) for the set up and coordination of all meetings. The secretary will keep a log of minutes at each meeting that highlights discussion and what was achieved during each meeting. Additionally, the secretary is also responsible for granting assess to records to all members of the association as well as other authorized individuals. The secretary will also be a member of the Architectural Review Committee until such time as a volunteer committee is established.
